About the Organization
The Association of Arts Administration Educators (AAAE) was founded in 1979 in the State of California to support graduate and undergraduate arts administration programs at colleges and universities. These programs encompass training in the management of visual, performing, literary, media, cultural, multidisciplinary, advocacy, and arts service organizations.
The field of arts administration has evolved over time, as has the academic discipline that supports it. As an interdisciplinary field, it has the capacity to build connective tissue across the traditionally siloed disciplines of the modern university and society at large. AAAE has become the leading professional association for higher education programs devoted to arts, culture, and creative industry management, serving as a nexus within the broader creative ecosystem.
AAAE serves as a global hub for scholarship, pedagogy, research, and professional collaboration in arts administration education and practice. Scope of the Position
The ideal candidate will have experience in communications, nonprofit operations, and an understanding of arts administration education and the broader professional field.
As this is a remote position within a small membership organization, the successful candidate must be self-motivated, highly organized, and able to manage hybrid duties and maintain a high level of professionalism. Strong written and verbal communication skills, attention to detail, and experience with financial administration and reconciliation are essential. Because this role serves as the primary point of contact for members, a friendly and professional customer-service approach is critical.
The Membership & Operations Manager leads AAAE’s member services, communications, and day-to-day operations. Responsibilities include managing member inquiries and engagement, coordinating organizational communications, maintaining online systems, handles financial and administrative tasks on a regular basis, and assisting the Executive Director with planning and executing the annual conference.
The Membership & Operations Manager reports directly to the Executive Director and regularly interacts with members, volunteers, and the Board of Directors. Limited domestic and international travel is required (approximately one trip annually in connection with the conference).
This is currently a part-time position with the potential to grow into a full-time role as organizational capacity expands.
Responsibilities by Function
Membership
- Serve as the primary contact for membership inquiries
- Onboard new members and assist with online profile development
- Facilitate member access to AAAE virtual resources
- Manage the online job board
- Conduct outreach to prospective members
- Send renewal notices to expiring members
- Maintain and oversee AAAE’s membership database, including recruitment, retention, and renewal efforts
Communications
- Build and distribute the monthly member e-newsletter and regular listserv messages
- Implement social media strategies to engage target audiences across multiple channels
- Create and publish website news updates as needed
- Maintain cross-marketing initiatives
- Develop marketing materials using Canva or Adobe Creative Suite
- Support the Executive Director in implementing communications initiatives designed to increase participation in AAAE programs and strengthen public recognition of arts administration education
- Assist with other marketing and communications initiatives as needed
Conference
- Prepare and distribute conference materials via email and the website
- Manage conference registration processes, attendance tracking, and on-site registration operations, including oversight of student volunteers
- Staff conference events and receptions, collecting attendance and payments as needed
- Track invoice payments for conference advertising and conduct outreach to prospective sponsors
Operations
- Meet weekly with the Executive Director at a mutually agreed-upon day and time and attend additional virtual meetings as needed
- Handle billing, invoices, and other administrative aspects of membership
- Prepare monthly reconciliations, expense reports, financial statements, and budget support materials
- Maintain and improve the organization’s online infrastructure
- Take accurate meeting minutes during Board meetings
- Coordinate AAAE’s online advertising program
- Provide technical support for virtual events
Qualifications & Requirements
- Bachelor’s degree, preferably in the arts, humanities, or a related field
- Passion for the value of the arts in society
- Experience with financial reconciliation required
- Experience with Gusto or similar HR and payroll platform is a plus
- Experience with CRM software, QuickBooks, WordPress, Newsletters, and Internet and social media analytics preferred
- Strong written and verbal communication skills
- Ability to work independently and manage multiple priorities in a remote environment
- Must be willing to use a personal computer or laptop for work and have reliable internet access
Salary & Hours
- Part-time, non-exempt position at 20 hours per week
- Hours are generally flexible; however, availability to overlap with the Executive Director during Eastern Time business hours (9:00 a.m.–5:00 p.m., Monday–Friday) on some days is required
- Compensation range: $20–$25 per hour, commensurate with experience
